Upload photos or PDFs of your receipts. Farlio reads them using AI vision, automatically extracting the vendor, date, amount, sales tax and category. Edit any field if the AI makes a mistake, delete entries you no longer need, and view the original receipt photo at any time.
→Take clear, well-lit photos — the better the image, the more accurate the AI.
→Supported files: JPG, PNG, PDF (max 10MB). On mobile the camera opens directly.
→If the AI reads an amount or date incorrectly, click the pencil icon to fix it.
→The app detects potential duplicates (same amount, vendor and date within 7 days) before saving.
→Expenses marked as deductible are included in your tax calculator automatically.
→Keep originals for at least 3 years — the IRS may request them during an audit.
→Use "Search & filter" to find expenses by vendor, category or date range.
→Set up "Vendor rules" in Profile so receipts from a regular vendor (e.g. Verizon, Home Depot) are always categorized the same way, automatically.
→Pro accounts can also forward receipts by email instead of uploading them — see "Email-forwarded receipts" below.
Every Pro account gets a personal Farlio email address, shown in Profile. Forward or CC any online purchase invoice — Amazon, Home Depot, a supplier, a SaaS subscription — to that address and it's read automatically by the same AI that reads photos, then added as an expense. No need to download the PDF and upload it yourself.
→Find your address in Profile → "Email-forwarded receipts" — it looks like receipts+yourcode@farlio.app.
→Works with PDF, JPG, PNG or WebP attachments up to 10MB.
→Vendor rules and duplicate detection apply automatically, just like uploads.
→Only the first matching attachment on an email is processed — send one receipt per email for best results.
→This only works while your account is on the Pro plan.
Upload invoices or remittance advices you receive as income. The AI extracts the client name, invoice number, date and amount. You can upload multiple PDFs at once. Income feeds into your net profit, quarterly tax estimate and tax calculator. Edit or delete any income record directly from the dashboard.
→Upload invoices you send to clients once they are paid, OR invoices you receive from payers.
→You can also use the Invoice Generator to create invoices directly — they save as income automatically.
→Edit income records using the pencil icon, delete using the trash icon — both in the dashboard.
→Income and expenses together give your true net profit (Schedule C).
→The dashboard loads up to 500 income records — for larger histories use the CSV export.
Create professional PDF invoices without leaving the app. Fill in the client name, work description and amount — Farlio adds your business name, EIN, logo, sales tax breakdown and invoice number automatically. New invoices start as draft and are recorded as income once generated.
→Upload your business logo in Profile so it appears on every invoice.
→Set your EIN and sales tax setting in Profile — the app uses them to format the invoice correctly.
→New invoices are created as "draft". Status updates to "sent" when emailed, "paid" when you mark it.
→Invoice numbers are assigned automatically (INV-0001, INV-0002…) and never repeat.
→Set payment terms: 7, 14 or 30 days — the due date is calculated automatically.
→Start typing a client name to autocomplete from your previous clients.
→Delete invoices using the Delete button (with confirmation) — visible on every invoice row.
→Overdue invoices are highlighted in red automatically when the due date passes.
→The invoice list loads 50 at a time — click "Load more" to see older invoices.
Once an invoice is created, click "Send to client" and Farlio emails the PDF directly to your client. The email includes your business name, EIN, invoice details and payment instructions. The invoice status updates to "sent" automatically.
→Enter the client email when creating the invoice — it cannot be sent without one.
→A confirmation dialog asks before sending to avoid accidental emails.
→Invoice status flow: Draft → Sent → Paid.
→Mark invoices as paid using the "Mark paid" button to track outstanding amounts.
→The email sender shows your business name. For a custom domain email, contact support.
Tax profile & invoice settings
FreeYour EIN, sales tax setting, business name, address, bank details and logo all live in Profile. This information appears on your invoices and tax calculations. Complete your profile before creating invoices.
→EIN is optional and format-only validated (9 digits) — sole proprietors can leave it blank. Never put your SSN on an invoice.
→Sales tax is optional and set per invoice, since rates vary by state and mostly apply to goods, not services.
→Add your bank routing number and account number so they appear on invoice PDFs for easy client payment.
→Logo must be JPG, PNG or WebP, under 2MB. Square format looks best on invoices.
→Toggle "EIN shown on invoices" to hide your EIN from invoice PDFs if preferred.
→Check your state's Department of Revenue for whether you need to collect sales tax on what you sell.
Log your work-related trips and Farlio calculates your deduction at the IRS standard mileage rate for the tax year of the trip (70 cents/mile for 2025). There is no annual mile cap under the standard mileage method — your log serves as your IRS-compliant mileage record.
→Trips to client sites, picking up materials, attending training or industry events — all deductible.
→Commuting from home to a regular fixed workplace does NOT count.
→Log date, miles and purpose — the IRS may ask for your mileage log in an audit.
→Your total mileage deduction feeds automatically into the tax calculator.
→The rate updates automatically each tax year based on current IRS guidance.
Quarterly estimated taxes
ProA worksheet for IRS Form 1040-ES. Farlio estimates your federal income tax and self-employment tax for the quarter, annualized from your income, expenses and mileage. Select the quarter, review the figures and use them to pay via IRS Direct Pay or mail Form 1040-ES. This is a reference tool — not an official filing.
→Estimated tax is due four times a year: Q1 (Jan–Mar) → Apr 15 · Q2 (Apr–May) → Jun 15 · Q3 (Jun–Aug) → Sep 15 · Q4 (Sep–Dec) → Jan 15.
→The countdown banner appears on both the dashboard and Quarterly Taxes page within 30 days of each deadline.
→Figures use the dates on your receipts — check dates are correct when uploading.
→The estimate combines federal income tax and 15.3% self-employment tax, annualized from the quarter's profit.
→Farlio is not a CPA, Enrolled Agent, or tax preparer. Verify figures before paying.
Estimates your annual federal income tax and self-employment tax based on current IRS brackets. Automatically loads your income, deductible expenses and mileage for the current tax year. Calculates federal income tax, Social Security and Medicare tax, plus a state income tax estimate and a SEP-IRA retirement savings estimate. Figures update in real time as you type.
→The tax year runs January 1 to December 31, matching the calendar year.
→Self-employment tax is 15.3% (12.4% Social Security up to the annual wage base + 2.9% Medicare) on 92.35% of net profit.
→Half of your self-employment tax is deductible against your federal income tax.
→You can also add W-2 wages if you're employed elsewhere, to see your combined federal tax liability.
→You can manually adjust income, expenses and miles to model what-if scenarios.
→Set your state in Profile to add a state income tax estimate alongside federal — no-tax states (TX, FL, WA and others) show $0.
→The Retirement savings (SEP-IRA) card estimates the maximum you could contribute — 20% of net profit after half your self-employment tax, capped at $70,000 for 2025.
→This is an estimate only — not a substitute for a CPA or Enrolled Agent filing. Find one at the IRS Directory of Federal Tax Return Preparers.
Visual breakdown of your spending over time. Bar chart of monthly expenses, donut chart by category, a Schedule C summary mapping your expenses to IRS form lines, a 1099-NEC client tracker, and a monthly sales tax summary. →Schedule C summary maps your expense categories to the actual Schedule C (Form 1040) line numbers — hand it straight to your CPA or tax software.
→Meals are automatically limited to the IRS 50% deductible rule in the Schedule C summary.
→The 1099-NEC client tracker groups your income by client and flags anyone who paid you $600 or more — the threshold at which they're required to send you a 1099-NEC.
→CSV export includes both expenses and income in one file sorted by date.
→Give the CSV to your tax preparer at tax time — it covers everything they need.

→A badge on the Search button shows when filters are active.
→The dashboard loads expenses 20 at a time — click "Load more" for older entries.
